Challenge

Every event was quoted by hand, and no two quotes matched.

CULS produces events in Lima, and every event needs a quote. Catering, AV production and logistics each come with their own options, and the options multiply. A quote for one event could be assembled in a great many ways, and each one was worked out by hand.

Manual quoting was slow, and it was inconsistent. Two people quoting the same event could land on different numbers. Sales needed a tool that produced one correct quote, quickly, no matter how the variables were combined.

Approach

We modelled the variables before we automated anything.

We started by modelling the variables. Every catering option, AV package and logistics choice went into a single structure with its dependencies made explicit, so the engine knows which combinations are valid and what each one costs.

On top of that model we built a dynamic quoting engine. The user picks options, the engine resolves the combination and the quote updates as they go. The rules live in one place, so a price change is made once and applies everywhere.

Strategy came first, automation second, development third. That order kept us from automating a process that nobody had fully written down.

culscorp.com now produces one quote from every combination of variables, in one flow. What used to be assembled by hand is resolved by the engine.
